Artificial intelligence is already entering credit union operations through fraud tools, lending workflows, vendor platforms, productivity assistants, contact center software, and employee experimentation. The governance challenge is no longer theoretical: leaders need clear rules that help teams use AI productively without putting members, data, or the institution at risk.
A good AI acceptable-use policy does not need to stop innovation. It should create enough structure that employees know where AI can help, where human review is required, and where certain uses are off limits.
Start with the purpose
The policy should explain why the credit union allows AI use at all. Useful language is simple: AI may be used to improve productivity, research, drafting, analysis, fraud detection, operational efficiency, and member experience — but only when use is consistent with privacy, security, compliance, fairness, and member trust.
That purpose statement matters because it frames AI as a controlled business tool, not an unmonitored experiment.
Define allowed uses
Credit unions should give employees examples of acceptable low-risk uses. These may include summarizing public information, drafting internal meeting notes, creating training outlines, brainstorming member education topics, improving non-sensitive communications, or analyzing anonymized operational patterns.
The more specific the examples, the less likely employees are to guess.
Define restricted uses
The policy should clearly state what employees cannot do without approval. Require human review

Human review is especially important when AI is used to summarize policies, interpret regulations, draft disclosures, evaluate risk, or classify member issues.
The policy should make clear that AI can assist judgment, but it does not replace accountable decision-makers.
Protect member and institutional data
Every acceptable-use policy should connect AI usage to existing privacy, cybersecurity, vendor management, and information classification rules. Employees should know which data types are prohibited in external tools and which approved systems may be used for sensitive workflows.
If the credit union uses approved enterprise AI tools, the policy should explain the difference between approved and unapproved tools.
Assign owners
A practical policy names who owns AI governance. Depending on the institution, that may include compliance, risk, IT/security, legal, operations, lending, marketing, and executive leadership. Smaller credit unions do not need a large committee, but they do need named accountability.
The policy should also define how employees request approval for new use cases.
Keep an inventory
Credit unions should maintain a simple inventory of AI-enabled tools and use cases. The inventory does not need to be complex at first. It should track the tool, owner, vendor, data involved, business purpose, member impact, review cadence, and whether the use is internal-only or member-facing.
This creates visibility and helps boards ask better questions.
Train staff regularly
The best policy will fail if employees do not understand it. Short training should explain what AI is, where it is already present, what employees may use it for, what data cannot be entered, and how to escalate questions.
Training should also remind employees that AI outputs may be inaccurate, incomplete, biased, or outdated.
Review and update the policy
AI tools and expectations are changing quickly. Credit unions should review acceptable-use rules at least annually, and more often when new tools, vendors, regulations, or member-facing use cases are introduced.
The goal is not to predict every future use. The goal is to create a living governance structure that can adapt.
